Information Sheet

G.E.A.R.S. is the Georgia Electronic Accident Reporting System that has been

adopted by the State of Georgia and is the preferred method of accident

submission. This electronic method of accident report submission may one day

become a mandated requirement.

Accident reports are currently completed by hand and turned into the record

room for processing by the clerks. The reports must be logged into an accident

book, entered into the computer, scanned and catalogued for entry into the

server with the original reports mailed to the state. Typically one clerk on

day shift is assigned these duties each day with others helping as needed

especially at the end of the month when the monthly report is due. The new

system of electronic reporting should theoretically free up this one clerk to

complete other essential duties in the record room that cannot currently be

completed in a timely manner due to our workload and limited manpower.

1) When someone is involved in an accident, they will be given a card with

instructions on how to obtain an accident report through Open Portal Solutions

2) The cost for an accident report through the Internet site will be $11.00

with $5.00 going to the city per the revenue sharing agreement.

3) When a report is purchased it comes via .pdf download which may be saved and

printed by the purchaser. The purchaser may complete a form requesting a

notice if an update / supplement is completed on the report. If after

purchasing the original report a supplement is completed the purchaser will be

notified by email and provided with a .pdf file of the supplement free of

charge.

4) Citizens are not obligated to buy a report from the Internet and may still

come to Police headquarters to obtain a report. As has been our policy we give

the first copy of an accident report to involved parties for free. After the

first copy a fee of .25 cents per page with the average cost of an accident

report being $1.00 Reports requested through the mail cost $2.00.

5) The Police department orders the current paper Georgia accident report from

the city?s print shop at an average yearly cost of $468.00.
