Agenda Item # 5
Columbus Consolidated Government
Council Meeting
June 24, 2014
Agenda Report # 150
TO: Mayor and Councilors
SUBJECT: Purchase Authorizations
INITIATED BY: Finance Department
(A) COMMERCIAL PROPERTY & CRIME INSURANCE (ANNUAL CONTRACT)
It is requested that Council approve the continuation of the contracts with J.
Smith Lanier & Company for commercial property insurance coverage, and Hamby &
Aloisio, Inc., for crime insurance coverage. Insurance services are needed to
provide commercial property and crime insurance for Columbus Consolidated
Government. Property insurance covers real and personal property, park
lighting, catastrophic vehicle damage, boiler and machinery. Crime insurance
covers employee dishonesty, disappearance and destruction inside and outside
the premises.
J. Smith Lanier & Company and Hamby & Aloisio, Inc., were awarded the contract
to provide property and crime insurance to Columbus Consolidated Government,
per Resolution 281-08 (RFP No. 08-0021) on June 17, 2008. On June 30, 2014,
the contract will expire. However, J. Smith Lanier & Company and Hamby &
Aloisio, Inc., have agreed to continue the current contract/insurance policy
through June 30, 2015, under the existing terms and conditions. On March 11,
2014, RFP No. 14-0014 was issued for Commercial, Property & Crime Insurance.
Numerous questions were received from vendors about the RFP. After discussion
and research with the City Attorney, it was determined to re-issue the RFP for
broker services as opposed to specific insurance to allow for a more
competitive broker services process. Therefore, the RFP was canceled on March
19, 2014. It is in the City?s best interest to continue the insurance services
with J. Smith Lanier & Company and Hamby & Aloisio, Inc. until the RFP for
Broker Services can be issued by the end of the calendar year 2014.
Funding will be budgeted each fiscal year for this ongoing service: Risk
Management Fund ? Human Resources ? Unfunded Claims ? Property & Casualty
Insurance, 0860-220-3830-RISK-6611.
