Background
The Columbus Consolidated Government is the official repository for various

federal, state and local records. Many of these records require permanent

retention and maintenance.
Analysis
A thorough study of the records center is necessary to ensure that adequate

measures are taken to protect the records ranging from 1818 through the

present. In addition, placement of procedures online will insure that records

are transferred more accurately, thereby increasing the efficiency of the

records management program.
Financial Considerations
The grant amount requested is $2,571.00 for the City Manager's Office. The

City is required to provide 25% in-kind service to participate in this grant.
Projected Annual Fiscal Impact Statement
Legal Considerations
The law requires that public records be properly maintained and accessible.
Recommendations/ Actions
Authorize a resolution to approve the City to accept a grant from the Georgia

Historical Records Advisory Board in order to hire a consultant to evaluate the

records center's structure and place records storage procedures online and to

amend the Multi-Governmental Fund by the amount of the grant awarded.
